Important Message from the POA General Manager Friday, March 27, 2020

Consistent with the Order of Montgomery County Judge Mark J. Keough “Stay Home, Stop The Spread”, and effective at 11:59 PM tonight, March 27, 2020, all nonessential POA employees will work from home.  We do not anticipate a noticeable lapse in service to property owners but ask for your patience during the term of this order.  Entrance operations will not be affected and property owners may use the same phone number or, preferably, the entrance software to clear guests.  Landscape operations may be temporarily affected and we ask for your understanding if you notice an overgrown vacant lot.  Property owners should continue to use the Contact Us feature on the POA website for all matters requiring our attention.    

Thank you for your continued patience while we all navigate these unfamiliar waters.

Attention Bentwater Property Owners

The Board of Trustees has voted to transfer sponsorship, oversight and management of the Facebook website Bentwater Live! to the Bentwater Civic Association.  We believe this is in the best interest of the Bentwater community and the Property Owners Association (“POA”) and will allow for more of a positive social media environment for property owners to participate in.  Effective immediately no POA staff, management, or Board Member will have any official role in Facebook Live! included in their official duties, but may, in their own personal discretion and, if they are Bentwater property owners, participate in Bentwater Live!.  Please continue to check your email for future POA communications, and use this POA website for updates from, and communication with the Board and staff.

POA OFFICE CLOSURE Thursday, March 19, 2020

In an abundance of caution, and to protect the health and welfare of our staff, property owners and the public, beginning Monday, March 23rd the POA office will be closed to property owners and the public until further notice.   POA staff will remain on site for now and our telephones and emails will still be available as always.  The Contact Us feature of the POA website will have links to contact each POA department as well as general inquiries for things that are outside those specific categories.  We ask that you please use the web site contact capability whenever possible.  ACC applications are posted on the web site and must be submitted as an attachment via the ACC Contact Us section of the web site.  Please notify your contractors of this requirement as we will no longer accept ACC applications in person or via any other method.  Application fees must be placed in the drop box at the front door of the POA office.  Assessment payments and all other payments that you normally drop off can also be placed in the drop box.  Notary service as well as golf cart decals will be unavailable during this closure.  Clearing guests via the Entrance System software will be unaffected as will Entrance and Maintenance departments and their respective hours of operation.  We remind property owners to please respect social distancing guidelines with outside staff members as set forth by the Centers for Disease Control and Prevention. 

We regret any inconvenience this may cause our property owners and will continue to monitor the situation closely for further guidance and directions from the Centers for Disease Control and Prevention and the Montgomery County Office of Homeland Security and Emergency Management.  We appreciate your patience during this very unusual time.

An Important Announcement From Your POA

Following guidance regarding the coronavirus disease (COVID-19) from the Centers for Disease Control & Prevention (CDC), and in an abundance of caution, your POA must cancel the annual Easter Egg hunt scheduled for April 11.  We regret that circumstances have made this necessary and hope our property owners can enjoy Easter with their families in a safe and healthy environment.  Your understanding is greatly appreciated as we all act in the best interest of one another and navigate these uncharted waters together.

At the open meeting on March 16, 2020 the Board of Trustees voted to appoint Joan Slater to fill the vacancy on the Board created by a member resignation.  Ms. Slater will serve the remainder of the term which will expire in September 2021.

Special Meeting Attendance Friday, March 13, 2020

We want to remind our members that the POA Board’s Special Meeting scheduled for Monday, March 16 at 4:00PM at the Country Club Boardroom is an open meeting during which there will be no Q&A or town hall forum and sitting space will be limited.  The Boardroom is being provided to the POA without charge given the anticipated brevity of the meeting (likely 10 minutes or less as there is but a single agenda item).

Considering recent developments with the COVID-19 virus, and in an abundance of caution, we must point out that the social distancing parameters, as recommended by the CDC, may not be possible due to the confined quarters of the meeting room. While the Special Meeting is open to all POA members, you should use your discretion in deciding whether to attend. The minutes of the meeting will be posted on the POA website shortly after the meeting. 

Social Distancing Friday, March 13, 2020

There is substantial concern across our community surrounding coronavirus (COVID-19) and our hearts go out to those who have been impacted. 

In an abundance of caution, and with our members’ and employees’ health and safety in mind, we have implemented a social distancing policy for our staff.    

We have directed our entrance gate Greeters to no longer handle any item a visitor may try to hand them.  This includes drivers’ licenses, cell phones, paper notes, business cards, or other documents.  Visitors and members are asked to remain in their vehicles and not to enter the Greeter workspaces, including the gate houses and outside porches.  

POA office staff have also been directed to use social distancing and to minimize physical contact with each other and with visitors coming to the office.  We ask that our members communicate with the staff via either telephone, email or the Contact Us feature on the website, if possible, and to minimize visits to the office. POA office staff are also periodically cleaning surfaces in the POA office building.  

POA Maintenance staff will continue their duties around Bentwater and will also adhere to the social distancing policy.

This policy will remain in effect through March 31st when it will be reevaluated based on then current conditions and available guidance from official sources. We believe these are appropriate and prudent steps for your POA to implement considering the current information available. We thank you for your understanding and cooperation while these events continue to unfold.

A Special Board Meeting will be held Monday, March 16, 2020 at 4:00PM in the Boardroom of the Bentwater Country Club.   This meeting is open to the members however space will be very limited, and the only agenda item will be for the Trustees to consider and vote on the appointment of a Trustee to fill the current vacancy.  There will be no member Q&A or town hall following the meeting.
